The E-Billing Assistant will be responsible for supporting invoice processing via the e- billing hub, issue resolution and vendor relationships in providing e-billing LEDES file solutions, with key duties surrounding:

Serve as the main contact for the firm's global e-billing process, collaborating with stakeholders from various departments to ensure accuracy and reliability

Communicate internally and externally to facilitate e-billing client management
-
Maintain comprehensive vendor and timekeeper data in e-billing systems to prevent invoice rejections
-
Analyse time and costs in alignment with client billing guidelines, addressing any non-compliance with fee earner teams

Capture and communicate Outside Counsel Guidelines to outline matter management and billing requirements

Provide support for processing bills for e-billing clients, ensuring compliance with client requirements

Assist with uploading, monitoring, and tracking e-bills to meet submission deadlines
-
Collaborate with the credit management team and partners to investigate and resolve invoice rejections promptly
-
Coordinate with e-billing vendors to resolve system issues and ensure accurate implementation of client-specific requirements

Support the maintenance of e-billing invoices tracker, KPIs, and SLAs
-
Familiarise with billing guidelines and ensure timely invoice uploads to meet deadlines
To be successful in this role, the following experience is required:

Previous experience of working within a finance function, working in a professional services environment would be preferable
-
An understanding of billing processes in a large international organisation
-
Knowledge of e-billing file formats (LEDES), UTBMS codes and e-billing file delivery desirable but not essential as full training will be provided
-
Knowledge of e-billing systems including TyMetrix. Passport, Collaborati, Counsel Link and others, desirable but not essential as full training will be provided
-
Good numeric, analytical and problem solving skills with attention to detail
-
Team player, able to juggle multiple deadlines with excellent communication skills
-
Previous experience in process improvement and process controls
-
Good Excel skills
-
Basic VAT knowledge would be an advantage
