Job Title: Legal Administrator

Are you a highly organised and detail-oriented administrator with a passion for providing exceptional administrative support? We are currently seeking a Legal Administrator to join our clients esteemed residential property team in their Glasgow based city centre office.
About the Role:
As a Legal Administrator, you will play a vital role within the Private Client department, providing comprehensive administrative assistance to Partners and other fee earners. This dynamic position offers a diverse range of responsibilities, including audio and copy typing, handling telephone enquiries, processing legal documents, and maintaining confidentiality with utmost discretion.
Key Responsibilities:
- Audio typing of various legal documents, including letters, contracts, and attendance notes, using a digital dictation system.
- Responding to external calls and enquiries, accurately recording messages, and promptly forwarding them to the relevant fee earner.
- Processing incoming cheques, acknowledgments, and handling file administration tasks.
- Coordinating appointments, meetings, travel arrangements, and accommodations as required.
- Preparing draft bills, updating billing schedules, and completing relevant forms for accounts.
- Assisting with the preparation of legal documents.
- Conducting online searches and preparing official forms for searches and applications.
- Ensuring accuracy and compliance with money laundering requirements and file administration procedures.
- Maintaining critical dates diary and databases for wills, powers of attorney, and trusts.
Skills, Knowledge, and Expertise:
- Excellent communication skills, with the ability to interact confidently with clients and colleagues at all levels.
- Proficiency in computer applications and software, including Microsoft Office suite.
- Strong prioritisation skills, with the ability to meet deadlines and work effectively under pressure.
- Exceptional attention to detail and accuracy in all tasks.
- A proactive team player who can also work independently and demonstrate initiative.
- A professional demeanour and the ability to project a positive image of the firm at all times.
