
Iconic Resourcing Accountancy & Finance Division are delighted to be partnering with Derwent London in East Dunbartonshire in their search for an experienced and highly driven Office Administration Manager to be based within their East Cadder location. This role will be based within Caledonian Properties, who are part of Derwent London’s portfolio.
The company
Derwent London stands as the largest real estate investment trust focused on the Central London commercial property market, with over 85 buildings valued at approximately £5 billion in 13 London villages. Their core strategy revolves around acquiring and owning a portfolio of Central London properties that offer significant opportunities to enhance and extract value through refurbishment, regeneration, and redevelopment.
In addition to their London holdings, they also own approximately 5,500 acres of land on the Northern fringe of Glasgow, Scotland. The estate comprises a range of rural land, residential, and commercial assets, including a substantial retail park of around 300,000 square feet. Apart from overseeing the running and asset management of the land, the business is also focused on the promotion of residential development land, an 'in-hand' farming operation, developing renewable energy schemes, and implementing a forestry strategy.
The role
Reporting directly into the Land & Asset Manager, the key focus of this role will be to offer administrative support across the Estate team as required, additionally supporting and collaborating with the London team where necessary. The key responsibilities within this role will surround:
- Overseeing reception duties, telephone management, meeting scheduling, diary organisation, and serving as the initial point of contact for general inquiries and tenancy concerns as necessary
- Handling general office management responsibilities such as maintaining supplies, coordinating cleaning services, and aiding in compliance tasks
- Assisting with the scheduled office move where responsibilities will extend to managing meeting room bookings and organising car charging card allocations
- Offering comprehensive administrative support to the team, including tasks such as attending to banking and post office needs, completing internal paperwork, liaising with vendors, minute-taking, meter reading recording, training record maintenance, and document preparation and formatting
- Assisting the Financial Accountant with invoice preparation, service charge documentation, insurance recharges, debt management, and responding to audit and financial inquiries as directed
- Managing utility supplier and local authority account queries, collaborating with the accounts team to address and resolve issues
- Assisting the Health and Safety Coordinator in scheduling quarterly meetings, coordinating with the London H&S team, recording meeting minutes, facilitating PPE procurement, and organising training sessions per team directives
- Supporting the Estate team in recording and distributing weekly readings
- Aiding the Land & Asset Manager in managing the Estate website and other marketing materials, ensuring content accuracy, suggesting article topics, drafting content, arranging photography, and liaising with London-based Marketing colleagues

We’re looking to speak with candidates who hold the following experience:
- Full UK driver’s license is essential to be able to travel to the office premises
- Excellent IT literacy skills with the ability to adapt well to new systems
- Strong communication skills, both written and verbal, with the ability to develop rapport with key stakeholders across the business
- Highly motivated and driven with a ‘can-do’ attitude
- Able to work autonomously with strong prioritisation and organisational skills
- Flexible and positive in your approach
Compensation details
This role offers a highly competitive salary & benefits package including a base salary of c.£32,000 alongside an annual bonus, a 15% pension, 25 days annual leave + bank holidays, health & wellbeing packages, fully funded training, and share incentives.
