Iconic Resourcing is currently working with a prestigious legal firm looking to hire a skilled Personal Assistant to support their Property Team. This is a fantastic opportunity for an experienced Personal Assistant who thrives in a fast-paced environment and has a keen eye for detail.
As a Legal PA within the Property Team, you will provide comprehensive support to fee earners, ensuring the smooth running of the team’s operations. You will be responsible for managing documentation, client matters, diaries, and communications, ensuring everything is organised and delivered efficiently.
Key Responsibilities:

Documentation and Correspondence: Accurately produce correspondence, documents (including mailslips, forms, couriers), and presentations using relevant software such as Word, Excel, PDF Docs/Adobe, and PowerPoint.

Client and Matter Management: Handle the opening and closing of client matters in line with the firm’s procedures, including coordinating with Finance and AML teams, conducting conflict checks, and preparing letters of engagement.

Diary Management: Efficiently manage diaries, ensuring all weekly, monthly, and annual commitments are met. Respond to availability queries, book rooms, arrange catering, and coordinate with IT support as needed.

Email Management: Oversee partner inboxes and assist absent fee earners by reviewing and managing email accounts, as well as ensuring proper email storage and filing.

Team Meetings: Organise attendance, rooms, and technology for team meetings. Take notes and assist in ensuring agreed tasks are completed by fee earners.

Billing and Invoices: Assist with the production and dispatch of invoices, managing billing processes, and addressing client queries regarding invoices and purchase orders.

Ad-Hoc Administration: Handle filing, scanning, photocopying, and binding as required. Assist with organising team training sessions or other administrative tasks as necessary.

Travel and Expenses: Arrange and manage travel and hotel bookings, create itineraries, and ensure expenses are claimed in line with company procedures.

Team Collaboration: Liaise with internal support teams, including Finance, Facilities, Reception, Marketing, and IT, to ensure seamless operations across the firm.
You will have the following:

Strong organisational skills and the ability to manage multiple tasks simultaneously.

Excellent attention to detail and accuracy.

Previous experience as a PA or Executive Assistant.

Experience within professional services (legal sector would be desirable)
