
Team Administrator
Glasgow (hybrid working with at least 3 days in the office)

Iconic Resourcing is delighted to be working on a retained basis once again with MDDUS, a values-led, highly respected membership organisation, to appoint a Team Administrator within their Executive Office.
This is a fantastic opportunity to step into a varied and fast-paced role supporting the Chief Executive, Executive Assistant, and wider Executive Team. You’ll be at the centre of the organisation, working with senior leaders, board members and key stakeholders, ensuring the smooth running of executive operations.
You will be the right-hand person to the Executive Assistant to the CEO - ideal for someone who enjoys being relied upon, takes pride in their organisation, and thrives in a busy, ever-changing environment.
You’ll be responsible for:
- Diary management for the Chief Executive, ensuring effective scheduling and coordination
- Booking and managing frequent travel and accommodation, particularly across Manchester, London and Glasgow
- Coordinating Board member logistics, including expenses, travel and meeting arrangements
- Acting as PA to the Head of Public Affairs & Strategic Communications, including diary coordination, inbox access for information retrieval, and meetings organisation
- Supporting committee processes, including formatting and proofreading papers during busy periods
- Minute-taking and following up on actions
- Managing expenses, documentation and filing systems
- Coordinating meetings, hospitality and occasional events
- Providing additional administrative support across the Executive Team when required
This role requires strong organisational skills, attention to detail, and the ability to manage multiple priorities. You’ll be confident communicating with senior stakeholders and capable of working independently while remaining a collaborative team player.
You’ll bring:
- Previous experience in an administrative, PA or team support role
- Strong diary management and travel coordination experience
- Excellent organisational skills with a high level of accuracy and attention to detail
- Confidence working with senior stakeholders and across multiple teams
- Strong communication skills and a proactive, can-do approach
- Proficiency in MS Office, particularly Outlook, Word and PowerPoint
